Pasting a URL

Start the project

1. Click New project and switch to the Paste a link tab.
2. Paste the URL — YouTube, TikTok, Instagram or X.
3. Name the project and set the spoken language.
4. Click Start transcription.

How it's transcribed

VocaFlow asks its transcript provider for the video. If the video already has captions, the transcript can come back within seconds. If it doesn't, the audio is transcribed instead, which takes longer for long videos.

Either way the project shows Transcribing until it's ready. You can close the page — the project updates the next time you open your dashboard or the project.

Choosing the language

When a video has captions in more than one language, choose the spoken language yourself rather than leaving Detect automatically — with auto-detect the provider picks a caption track on its own, and it may not be the language being spoken.

Incomplete transcripts

For YouTube links, VocaFlow compares the transcript's length with the video's. If the transcript covers only a few minutes of a much longer video, the project shows a Transcript may be incomplete notice so you know before you rely on it.

Links that can't be read

Private, removed or unsupported links fail straight away with the reason shown, and nothing is charged. Once the link works — for example after you make the video public — use Retry on the failed project to run it again. More in When a job fails.
